Run those only in an AI tool that has signed a business associate agreement with your practice.

Before you paste a single prompt: Patient data is protected health information, or PHI. Under HIPAA, any vendor that stores or processes PHI for you is a business associate and needs a signed business associate agreement (BAA). Many popular AI plans don't offer one. OpenAI says ChatGPT Free, Plus, Pro and Business are not eligible services. Anthropic says its Team and individual plans can't enable HIPAA.
So the prompts below are tagged. PHI means it involves patient-level data and must run in a BAA-covered tool. No PHI means it's fine anywhere your practice's AI policy allows. If you don't have a policy yet, see our AI acceptable use policy glossary entry.

Operations (5 prompts)
Use these on the reports your EHR and phone system already produce.
- PHI. "Here's our no-show export for Q3. Break no-shows down by provider, day of week, appointment type and lead time between booking and visit. Which three combinations have the highest no-show rate?"
- PHI. "This is next week's schedule export. List every slot where the same patient is booked twice within 7 days, and every new-patient slot shorter than 30 minutes."
- No PHI. "Here's our call log for September with timestamps and hold times. Show average hold time by hour and day. When do we need another person on the phones?"
- No PHI. "Draft a one-page front desk checklist for opening and closing the office. Include phones, fax queue, sharps, temperature logs and the cash drawer."
- No PHI. "Compare these three supply invoices from the last six months. Which items went up in price, and by how much per unit?"
Staffing and HR (4 prompts)
Keep employee records out of tools that aren't approved for them. Pay and discipline details deserve the same care as PHI.
- No PHI. "Here's our staffing schedule and visit volume by day for the last eight weeks. Where are we overstaffed or short? Suggest a schedule for next month that keeps two MAs on every clinic day."
- No PHI. "Write a job post for a bilingual (English and Spanish) medical receptionist at a three-provider family practice. Keep it under 250 words and list the must-haves first."
- No PHI. "Draft a 30-60-90 day onboarding plan for a new medical assistant, including EHR training, phone scripts and HIPAA training."
- No PHI. "Here are 40 anonymous staff survey comments. Group them into themes, count each theme, and quote two representative comments per theme."
Patient access (4 prompts)
- PHI. "This is our waitlist export. Match each patient to open slots next week with the same provider and visit type. List the matches with phone numbers."
- PHI. "Here's a list of patients who missed an appointment in the last 30 days and haven't rescheduled. Sort by provider and last visit date, oldest first."
- No PHI. "Draft a text message for appointment reminders under 160 characters. Name the practice, give a callback number and include 'Reply STOP to opt out.'"
- No PHI. "Write a phone script for new patient intake calls. Cover insurance, reason for visit, preferred language, pharmacy and how they heard about us."

Quality and value-based care (4 prompts)
- PHI. "Here are care gap reports from two payers. Map them to one layout, dedupe patients, and list everyone with two or more open gaps by PCP."
- PHI. "Using this visit export, list Medicare patients with no annual wellness visit or IPPE in the past 12 months who are more than 12 months past their Part B start date."
- PHI. "This is our attribution roster. Which attributed patients haven't been seen in over 12 months? Group them by PCP."
- No PHI. "Explain the difference between the breast cancer screening and colorectal cancer screening HEDIS measures in plain English for our MAs."

Finance and billing (4 prompts)
- PHI. "Here's our denial report for August. Group denials by payer, claim adjustment reason code and provider. Which five codes cost us the most in billed charges?"
- PHI. "This is our A/R aging report. List claims over 90 days by payer, and flag any where the date of service is more than 10 months old."
- PHI. "Draft an appeal letter for this denied claim. Use the denial reason on the remittance and the attached visit note. Leave blanks for anything you can't confirm."
- No PHI. "Compare our fee schedule to these payer contract rates for our top 20 CPT codes. Where are we paid below our own charge?"

Communications (4 prompts)
- No PHI. "Draft a patient letter announcing Dr. Patel's retirement on December 31. Explain how records transfer and how to choose a new provider. Eighth-grade reading level."
- No PHI. "Translate this flu shot reminder into Spanish and Vietnamese. Keep the tone friendly and the length about the same."
- No PHI. "Summarize this 40-page payer policy update in one page. List what changes for our front desk, our billers and our providers, with effective dates."
- PHI. "Here are this month's patient complaints with names and visit dates. Group them by theme and draft a reply to each. Mark any that need the practice manager to call."
For prompt 23, have a fluent speaker check any translation before it goes out. For prompt 25, read each reply yourself before it's sent. In Rivvi, email is draft-only: it drafts, and a person sends.
How to get better answers
- Tell it who you are. "I manage a four-provider family practice in Ohio" changes the answer.
- Name the columns. If your export calls it
APPT_STAT, say so. - Ask for a check. "Tell me how many rows you used and how many you dropped."
